PART-TIME LOGISTICS & PRODUCTION ADMINISTRATOR

We are looking for a part time administrator to join our operations team in central London. This is a part-time role, approx 12 hours per week. The role includes:

Liaising with the production manager and assist with any shipping needs & associated administration, ensuring. all customs paperwork is completed correctly to ensure smooth transit

  • Liaising with suppliers to manage inbound shipments & ensure all customs paperwork is completed tonsure smooth transit.
  • Liaising with suppliers to obtain Country of Origin certificates
  • Liaising with distribution partners to ensure smith transit of goods
  • Raising purchase orders in the product management system for raw materials, trims & bulk production
  • Tracking stock of current supplies for production, including counting of current packaging and trims
  • Co-ordinating office activities and operations to secure efficiency and compliance with company policies
  • Assisting the management team with administrative support
  • Processing wholesale customer orders received via our production management system and co-ordinating these orders with the warehouse to ensure that they are shipped in a timely manner and all customs paperwork is completed correctly to ensure smooth transit
  • Order tracking and fulfilment ex-works, including liaison with official bodies, courier companies and customers to assure on-time delivery of goods
  • Working collaboratively with the warehouse  team to manage daily tasks
  • Liaising with the CFO to ensure all customs statements & international VAT data is completed in a timely manner
  • Checking & processing processing supplier invoices against POs
  • Bi-annual review of couriers
  • Quarterly stock takes & financial reporting
  • Assisting the production team with the uploading and creating of items in the product management system
  • Assisting in preparing company trading reports

Qualifications & Experience

Essential

  • Demonstrate a solid background and successful track record in a logistics or administration role
  • Strong interpersonal skills
  • Strong office and administration skills – intermediate Excel and Word, excellent telephone manner

Desirable

  • Previous logistics experience
  • NVQ Business administration or equivalen
  • Familiar with e-commerce software (eg Shopify)
  • Familiar with product management software (eg Zedonk)
  • Familiar with financial software (eg Xero)
  • Interest in and/or knowledge of golf 

Personal Characteristics

  • High level of attention to detail
  • Good numeracy skills – ability to input data accurately and extract meaningful information from it
  • Good literacy skills – produce information in a professional and structured manner using appropriate media
  • Well organised and willing to assume responsibility
  • A positive character with ‘can do’ approach
